Modern business telephony explained
A hosted telephone system replaces a traditional on-site PBX with a cloud-based service. Rather than hardware installed in a comms cabinet, the telephone system runs on remote servers managed by the service provider. Calls are carried over your internet connection using VoIP (Voice over IP) technology.
For businesses, this means no upfront hardware cost, no maintenance contracts for on-site equipment, and a system that can be updated, expanded and managed remotely. Adding a new user, changing call routing or setting up a new hunt group takes minutes through a management portal — not a visit from an engineer.
For staff, it means their business telephone number is not tied to a desk or a building. They can use a desk phone in the office, a laptop application when working from home or a mobile app when travelling — all presenting the same business number, receiving the same calls and accessing the same voicemail.
No on-site hardware to maintain
The telephone system infrastructure is managed in the cloud. There is no on-site PBX to maintain, upgrade or replace — reducing maintenance overheads and removing a capital expenditure cycle.
Scales with your business
Add or remove users without hardware changes or engineer visits. User provisioning is managed through the admin portal. Whether you are adding one user or twenty, the system scales immediately.
Your number, any device
Business numbers are assigned to users, not to physical lines or extensions. Staff take calls on a desk phone, laptop or mobile. The business number travels with the person.

What a hosted telephone system can do
Auto attendant and call routing
Automated call answering and routing directs incoming calls based on time of day, department, user or menu selection. Callers reach the right person without needing a receptionist to route every call manually.
Hunt groups and call groups
Incoming calls can ring multiple extensions simultaneously or in sequence until answered. Hunt groups ensure calls are not missed when a direct number is busy or unanswered.
Voicemail and voicemail-to-email
Individual and group voicemail with voicemail-to-email delivery — messages are emailed as audio attachments so they can be reviewed anywhere, on any device.
Desk phones, softphones and mobile apps
Staff can use a physical desk phone, a softphone application on their laptop, a mobile app on their personal or company mobile, or any combination. The business number travels with the user.
Remote and hybrid working
A hosted telephone system has no on-site hardware dependency. Remote and hybrid workers use the same system as office-based staff — same number, same hunt groups, same voicemail — regardless of location.
Multi-site working
Businesses with more than one office use a single hosted telephone system across all sites. Internal calls between sites are free. External calls from any site present the business number.
Time-based call routing
Calls are routed differently inside and outside business hours. Out-of-hours calls can go to voicemail, a message service or an on-call number — configured once and applied automatically.
Number presentation
Outbound calls present the business number, not the individual user's direct line or mobile number. Consistent number presentation across all staff, on all devices.
Contact-centre telephone requirements
For businesses with structured inbound or outbound call handling needs — customer service teams, contact centres or sales teams with defined call-queue requirements — Elevate Call Centre provides the advanced call management and supervisor tools needed alongside the core telephone system.
Omni3 configures and manages Elevate Call Centre deployments. If your requirements go beyond general business telephony, we discuss the specific call-handling requirements during the consultation to confirm whether Elevate Call Centre or an alternative product is the right fit.
Discuss Call Centre RequirementsKeeping your existing business telephone numbers
Keeping your existing business numbers is an important part of changing telephone systems. Omni3 manages the number migration process as part of the transition to your new hosted telephone service.
Geographic numbers
Local area code numbers (01, 02) can be ported to the hosted system. Your customers continue to call the same number they always have.
Non-geographic numbers
Non-geographic numbers (03, 08) can also be migrated in most cases. We confirm the portability of specific numbers at the start of the migration process.
New numbers where needed
Where additional numbers are needed — for new departments, new sites or additional direct lines — we provision these as part of the setup.
Migration managed by Omni3
We manage the migration process from start to finish. We advise on timescales for your specific numbers at the point of sale — we do not publish generic timescales as these vary by number type and current provider.
Installation, configuration and onboarding
Consultation and design
We discuss your call volumes, user count, device requirements, call routing preferences, number migration and any specific requirements. We recommend the most appropriate product and produce a proposed configuration.
Number migration initiation
Where existing numbers are being ported, we initiate the migration process. We advise on expected timescales for your specific numbers and coordinate the cutover.
System configuration
We configure the telephone system: user accounts, hunt groups, auto attendant, voicemail, time-based routing and any other features required. Configuration is completed and tested before go-live.
Device provisioning
Desk phones, softphone applications and mobile apps are provisioned and tested. We ensure every user can make and receive calls before handover.
Handover and training
We train administrators on managing the system — adding users, changing routing, managing voicemail and generating reports. User documentation is provided.
Ongoing support and management
Omni3 remains your point of contact for all support, changes and additions. We manage the account and bill the service directly.
Connectivity requirements
A hosted telephone system depends on your internet connection for call quality and reliability. A reliable business broadband connection is the foundation. Where VoIP traffic needs to be prioritised, a properly configured router with Quality of Service (QoS) rules ensures calls are not affected by other internet activity.
For maximum resilience — particularly where telephone availability is business-critical — we recommend pairing the telephone system with a DrayTek router configured for 4G/5G failover. If the primary broadband connection fails, calls continue over the backup connection.
Omni3 manages the service
From initial setup through to ongoing changes, support and fault resolution — Omni3 manages the complete service.
Direct billing from Omni3
The telephone service is billed directly by Omni3. One invoice, one supplier.
One point of contact
Telephony, broadband, network and mobile on a single account with one team.
